Boys Hope Girls Hope of New York was formally incorporated in 1979. For more than 40 years, the organization has been expanding from a single home in Staten Island serving only boys to residential and academy offerings in Brooklyn that serve young men and women from all five boroughs of New York City.

Boys Hope Girls Hope is one program with two unique but complementary pathways to meet young people’s needs. Our Academy pathway provides year-round, out-of-school time programming to help scholars thrive and progress through high school while preparing them for life and educational success in the critical years after graduation. Our Residential pathway offers the addition of a primary home for scholars who receive round-the-clock care in a structured and loving environment. We then provide scholarships, wrap-around support, and connections to internships and jobs for our collegians and alumni to support their continued momentum as they pursue post-secondary education and career entry.

Job Description

The Director of Donor Relations and Communications (DDRC) is a full-time, live off-campus position, working closely with the Executive Director to plan, implement, and coordinate fundraising and communications efforts that will encourage, maintain, and increase philanthropic support to meet the short-term and long-term needs of Boys Hope Girls Hope of New York.

The DDRC, in partnership with the Executive Director, will support in implementing, and coordinating an organization-wide comprehensive donor relations and stewardship system that appropriately and consistently promotes interaction with and recognition of donors at all levels. In addition, the DDRC will help to create positive and mutually rewarding relations between Boys Hope Girls Hope of New York and its donors by partnering the programming team and management of the Community Engagement Manager (CEM) to determine the best strategies for effective stewardship of donors. She/he will maintain in coordination with the CEM, ongoing and active networking with internal and external constituencies, advise on the facilitation of recognition events and coordinate various activities towards creating gratifying gift experiences for all donors. Primary activities include personal contacts, reviewing grants, fundraising events, solicitation of corporate gifts, as well as donor acknowledgement and the management of donor records. The Director of Donor Relations directly supervises the Community Engagement Manager.

Key Responsibilities

Donor Relations:

  • Serve as the first point of contact for the Development Department, triaging calls, emails, and inquiries and escalating them to the Executive Director as needed for follow-up.

  • In partnership with the ED, execute high-quality donor relations by coordinating donor mailings (e.g., appeals) and producing high-quality written communications (e.g., follow-up correspondence, thank you letters, program updates, etc.).

  • Assist ED in devising donor solicitation strategies including new fundraising campaigns and donor engagement opportunities.

  • Develop, cultivate, and maintain a positive relationship with all donors, including foundations, corporations, and Board Members.

  • Oversee the grants program in coordination with the CEM, including identifying, applying, and tracking all grants.

  • Manage all pledge collection follow-up communications.

  • In coordination with the ED, assist with the design, printing, and distribution of marketing and communication materials for development efforts, including the production of general content for the organization’s website and social media pages.

  • Special Events:

    • Serve as a primary point of contact on event communications to Boys Hope Girls Hope of New York stakeholders, including invitations, sponsorship coordination, event questions, pledge follow-up, acknowledgments, and thank you letters.

    • Assist ED in creating processes and streamlining event protocols.

    • Assist with any day-of-event tasks.

Database Management:

  • Maintain database (Salesforce), ensuring all donor and prospect information is entered correctly and updated as needed.
  • Learn and manage development database (Salesforce) to steward donors and prospects accurately and effectively.
  • Oversee donor recognition process, ensuring that all contributions and gifts are appropriately tracked and acknowledged in a timely fashion.
  • Develop protocol for all specialized gifts, including honor/memorial, in-kind, restricted funds, etc., to ensure appropriate acknowledgment and stewardship.
  • In collaboration with Boys Hope Girls Hope Network Headquarters and Business Manager, maintain digital platform and any necessary paper records of contributors and grants.
  • Coordinate with Business Manager to monthly revenue reconciliations.
  • Provide custom queries, reporting, data analysis, and mailing lists as needed, including regular reports and dashboards (campaign reports, quarterly reports, etc.) for the Development Department, Executive Leadership, and Board.

Communications:

  • Oversee the development and implementation of a communication plan with cost-effective marketing and outreach strategies to communicate with a range of constituents through printed and electronic media and advertising.

  • Oversee the production of press releases, publications, videos, collateral, social media content, and other printed materials, including annual reports.

  • Oversee the management of the organization’s website, including updates, online publications, and social media.

  • Communicate and collaborate with a range of people and organizations to advance Boys Hope Girls Hope of New York’s mission.

  • Manage external communication strategies to build visibility and understanding of Boys Hope Girls Hope of New York to increase awareness and enlist new supporters and advocates.

  • Manage Boys Hope Girls Hope of New York’s Microsoft Outlook inbox to include responding to messages, routing to appropriate recipients, and mailbox organization.

Qualifications

EDUCATION/EXPERIENCE/CERTIFICATIONS (MINIMIMUM QUALIFICATIONS):
  • Bachelor’s Degree required in nonprofit management, public administration, business management, or similar concentration preferred.
  • 5 years experience in fundraising or constituent relations with an educational institution or non-profit.
  • Management or supervisory experience preferred.
  • Literacy in the Microsoft Office suite; history of learning new technology quickly.
  • Experience with Salesforce or other similar development database software preferred.
  • Experience with prospecting and conducting wealth screening with software such as iWave.
  • Proven experience in producing marketing pieces, including web-based communications and social media.
ADDITIONAL KNOWLEDGE, SKILLS & ABILITIES:
  • Exceptional verbal, written, and interpersonal communication skills. Ability to effectively present information and respond clearly to inquiries from other staff members and scholars. Ability to draft reports and correspondence consistent with the duties of this job. Ability to interface effectively with scholars, staff, volunteers, stakeholders, donors, and community members.

  • Strong reasoning skills. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Knowledgeable in Microsoft Office suite programs

  • Comfort working in a fast-paced, dynamic environment.

  • Demonstrated success in developing school programs and school culture.
